About the Role

As an Executive Secretary, you will play an important role in supporting the company’s leadership team and maintaining efficient office operations.

Key Responsibilities

Your responsibilities will include:

Executive Support

  • Managing executive calendars, appointments, and schedules
  • Coordinating meetings, travel arrangements, and office activities
  • Handling emails, phone calls, and professional correspondence
  • Preparing reports, presentations, and business documents
  • Attending meetings and recording meeting minutes when required
  • Following up on tasks and maintaining organized communication

Office Administration

  • Supporting daily office operations and administration
  • Organizing files, records, and confidential company documents
  • Coordinating with vendors, service providers, and office staff
  • Managing office supplies and administrative requirements
  • Supporting front-desk and office coordination activities when needed

Communication & Coordination

  • Acting as a communication point between management, staff, clients, and stakeholders
  • Maintaining professional communication across departments
  • Coordinating meetings, presentations, and internal activities
  • Supporting smooth workflow and team coordination

Administrative & Finance Support

  • Assisting with petty cash and expense tracking
  • Supporting invoice coordination and administrative documentation
  • Helping maintain organized business records and reports
  • Assisting management with general office and operational support

What We Are Looking For

To be considered for this role, candidates should have:

  • Previous experience as an Executive Secretary, Executive Assistant, or Administrative Coordinator
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal abilities
  • Professional attitude and attention to detail
  • Ability to maintain confidentiality and professionalism
  • Good time management and coordination skills
  • Ability to work independently and manage responsibilities efficiently
