About the Role
As a Site Administrator, you’ll play an important part in the day-to-day operations of the project site. You’ll help keep everything running smoothly by managing documents, maintaining records, preparing reports, and supporting communication between the site team and head office.
You’ll work closely with engineers, supervisors, project managers, HR, procurement, and other departments to ensure administrative processes are handled efficiently.
What You’ll Be Doing
- Managing and organizing project documents, files, and administrative records
- Preparing daily, weekly, and monthly reports
- Maintaining employee attendance, timesheets, leave records, and manpower reports
- Coordinating with different departments regarding administrative requirements
- Managing emails, correspondence, and official communications
- Organizing meetings and keeping records of important discussions
- Maintaining proper filing systems and ensuring documents are easy to retrieve
- Supporting transportation, accommodation, and logistics arrangements
- Assisting management with reports, presentations, and documentation
- Coordinating with HR, Procurement, Finance, and Operations teams
- Monitoring office supplies and ensuring administrative resources are available
- Supporting onboarding activities for newly mobilized employees and subcontractors
- Assisting during inspections, audits, and client visits by preparing required documents
Additional Responsibilities
- Keeping employee databases and records updated
- Tracking pending administrative tasks and following up when necessary
- Maintaining project calendars and important deadlines
- Handling visitor records and access documentation
- Supporting urgent administrative requirements whenever needed
- Ensuring all records remain accurate, updated, and confidential
What We’re Looking For
- Previous experience as a Site Administrator, Project Administrator, Office Administrator, or Site Coordinator
- Experience in construction, industrial, infrastructure, or project-based environments
- Good knowledge of Microsoft Office, especially Excel, Word, and Outlook
- Experience handling timesheets, documentation, and reporting activities
- Strong organizational and communication skills
- Attention to detail and ability to manage multiple tasks
- Ability to work independently and as part of a team
- Professional attitude and willingness to work in a multicultural environment
- Experience in Saudi Arabia or the GCC will be an added advantage
