Job Description
We’re currently looking for an experienced Transport Administrator to join our team in Bahrain. If you have experience managing transport documentation, vehicle records, fleet administration, and driver-related processes, this could be a great opportunity for you.
We’re looking for someone who is organized, detail-oriented, and able to keep transport operations running smoothly by ensuring all documents, renewals, and compliance requirements are handled on time.
About the Role
As a Transport Administrator, you’ll be responsible for the day-to-day administration of the company’s transport and fleet operations. Your role will involve managing vehicle documentation, coordinating with drivers, handling renewals, and ensuring all company vehicles remain compliant with Bahrain regulations.
You’ll work closely with internal teams, drivers, government authorities, and service providers to make sure everything is properly organized and up to date.
What You’ll Be Doing
Vehicle & Fleet Administration
- Managing all Ministry of Transport (MOT) procedures and documentation.
- Processing and maintaining:
- Wakala papers
- Vehicle registrations and registration cards
- Ownership transfers
- Vehicle renewals and updates
- Keeping accurate records of all company vehicles and fleet information.
- Monitoring document expiry dates and ensuring renewals are completed on time.
Driver Documentation
- Managing driver-related documentation, including:
- Saudi visa documents
- Medical reports
- Border permits
- Insurance documents
- Maintaining updated records for drivers’ licenses and permits.
- Coordinating with drivers regarding renewals and required documents.
Insurance & Compliance
- Managing vehicle insurance policies, including:
- Insurance renewals
- Certificates
- Claims documentation
- Maintaining records for:
- Traffic fines and violations
- Vehicle passing inspections
- Muhafazah requirements
- Passing certificates
- Renewal schedules
- Ensuring all vehicles comply with company requirements and local regulations.
Administrative Support
- Preparing transport reports and maintaining proper documentation.
- Updating records and filing systems accurately.
- Coordinating vehicle servicing and maintenance schedules.
- Supporting management by providing updates on transport activities and vehicle status.
- Ensuring all transport records remain accurate, organized, and confidential.
What We’re Looking For
- Previous experience as a Transport Administrator, Fleet Administrator, Transport Coordinator, or in a similar role.
- Good knowledge of:
- Ministry of Transport procedures
- Wakala documentation
- Vehicle registration and renewal processes
- Vehicle insurance procedures
- KSA driver documentation requirements
- Fleet administration and transport operations
- Strong organizational and record-keeping skills.
- Good communication and coordination abilities.
- Attention to detail and the ability to manage multiple tasks.
- Good working knowledge of MS Office, particularly Excel and Outlook.
- Ability to work independently and meet deadlines.
