Full-Time Urgent Hiring: Document Controller | FM | IBM Maximo | Reporting Specialist
Job Description
We’re looking for a Document Controller with experience in Facilities Management (FM) who can confidently handle documentation, reporting, and coordination in a fast-paced environment.
About the Role
In this position, you’ll be at the centre of our documentation process—making sure everything from maintenance reports to compliance records is properly managed, updated, and submitted on time. You’ll work closely with site teams, supervisors, and clients to ensure information flows clearly and efficiently.
What You’ll Be Doing
- Managing all FM-related documents, including Preventive Maintenance (PM), Corrective Maintenance (CM), and HSE reports
- Preparing and submitting daily, weekly, and monthly reports in line with client expectations and SLAs
- Coordinating with operations teams to gather accurate data for reporting
- Keeping track of work orders, service requests, asset records, and maintenance history
- Making sure all documents are up to date with proper version control and formatting
- Reviewing reports carefully before submission to ensure accuracy and completeness
- Uploading and managing documents through client portals and document systems
- Keeping files well-organized, both digitally and physically, for easy access
- Supporting audits by ensuring all documents are ready and available when needed
- Following up on pending approvals and keeping communication clear across teams
- Assisting in preparing monthly reports, dashboards, and performance summaries
- Spotting any inconsistencies in reports and working with teams to fix them
- Maintaining strict confidentiality and document security at all times
- Supporting documentation during project handovers and close-outs
What We’re Looking For
- A degree in Business Administration, Engineering, or a related field
- 3–5 years of experience in Document Control within FM, maintenance, or MEP environments
- Familiarity with Facilities Management processes and reporting standards
- Strong skills in MS Excel and Word (especially reporting and data handling)
- Experience with CAFM systems like IBM Maximo or similar tools is a plus
- Good communication skills in English; Arabic is an advantage
- A sharp eye for detail and a commitment to accuracy
- Ability to handle multiple tasks and work in a 24/7 operational setup
- Strong coordination and time management skills
