We’re looking for Documentation Executives who can confidently manage day-to-day logistics operations, coordinate with multiple stakeholders, and keep everything running smoothly behind the scenes.
This role is perfect for someone who enjoys working in a fast-moving environment and takes pride in accuracy, communication, and problem-solving within the shipping and logistics industry.
What This Role Is About
As a Documentation Executive, you’ll be at the heart of shipping operations—handling paperwork, coordinating shipments, and making sure cargo moves without delays. From preparing documents to staying in touch with clients and shipping lines, your role will directly impact how efficiently operations run.
What We’re Looking For
- Strong English communication skills, both written and spoken
- Confidence in drafting professional emails and handling client communication
- Previous experience in shipping, logistics, or freight forwarding documentation
- Familiarity with NVOCC or shipping agency operations is a big plus
- Good understanding of import/export processes and basic customs procedures
- Ability to manage multiple tasks and meet deadlines without compromising quality
- Comfortable using MS Office and logistics/shipping systems
Your Day-to-Day – Import Side
In the import role, you’ll be handling container movements and ensuring everything is properly documented and communicated:
- Managing import shipments (FCL) from arrival to clearance
- Coordinating with shipping lines, agents, and port teams
- Preparing arrival notices and sharing them with consignees
- Issuing delivery orders and tracking container movements
- Following up with clients to ensure timely clearance and return of containers
- Monitoring detention timelines to avoid extra charges
- Keeping records updated and sharing inventory reports
- Working closely with depots and port operators for real-time updates
Your Day-to-Day – Export Side
On the export side, you’ll take care of documentation, coordination, and shipment planning:
- Handling export documents such as bookings, pre-alerts, and shipping instructions
- Coordinating with shipping lines for space and vessel schedules
- Preparing gate-in documents and releasing containers to clients
- Creating Bills of Lading and sending drafts for approval
- Generating invoices and ensuring payments are collected on time
- Keeping clients updated on shipment progress and expected arrival
- Managing last-minute changes before port closing time
- Coordinating with yards and operators to ensure smooth loading
- Keeping accurate records and preparing monthly reports
